Just like in the
real world, Cap-Dat ACORD allows you to set up relationships for your Agency
and for your Agents.
4 minute 39 second video showing how to add agents.
The Agency is
the Business name and address information. For example - Home Insurance Agency,
123 Main St., Raleigh, NC 27609.
The Agent information
would be the person who is the actual agent. For example - John Smith, 123 Main
St., Raleigh, NC 27609. The Agent information would also include the agent's
unique email address, phone number, etc.
The Basic Cap-Dat
ACORD account gives you one Agency profile and one Agent profile. You can have
as many users of these profiles as you would like - dozens, hundreds - all at
no extra cost.
Why Would
You Ever Add More Agents?
- Personal contact
information
- Privacy of
your Insured information
Here is the Agency Profile information.

Here is what the Agent's Profile looks like. Note the unique contact information.

Personal
Contact Information
Agents get to
enter their unique contact information - email, phone, etc. This means emails
sent through Cap-Dat ACORD will have that specific agent's email address as
the "Reply To" email address. If your agency is still using just one
common email address, this feature really does not add anything.
Privacy
of Your Insured Information
Agents can make
all their customers information private from all other agents. (NOTE: The Agency
level log-in always has access to all information of all Agents.) Just like
in the real world, the Agency is still the holder of the Agency/Insurance Company
contracts and has ultimate ownership of all information. This means it is important
to keep the Agency log-in secure if you are allowing your agents to not "Share"
their customer information.
Many of our users
have asked for this ability to keep their customers information - completed
ACORD forms, uploaded documents, certificate holders list - private.
Each Agent can
select to "Share" with other agents or to "Not Share". This
way the choice is in your hands. You control sharing of information. You can
change it as often as you desire. In an agency where you want whoever takes
a phone call to be able to provide service regardless of who the Agent is, you
need to Share.
Is There
A Cost to Add Additional Agents?
Yes. Remember,
you get the first Agent profile as part of your basic service. After the first
Agent Profile, each additional Agent Profile is just $4.95 a month - and they
get all the services and functions the basic account gets, but at less than
1/4th the cost.
I Thought
I Got Unlimited Users With My Basic Account
You do. As many
people can log on using the same account access name and password as you would

Profiles.
